What Makes a Good Concert?

Introduction

A lot of various concerts are held around us on a regular basis. When their favorite artists or musicians perform, many people flock to the venues and have a good time. Their events give us the best time, but they take a long time to organize. We, on the other hand, are mostly oblivious to the efforts and hardships, simply enjoying the event.

How to manage a concert

According to Social Tables (2021), in order to run a concert that entertains the audience, it is necessary to make various plans.

  • Goal and purpose setting

A concert cannot be successful unless it is clear what people want to achieve, so it is clearly necessary to decide on a concept and theme in order to create the best event.

  • Budget decisions

Decide what we need for our event, and then decide on a budget after considering how much money we will have in case things do not go as planned. We don’t decide on a budget based on the number of people who will attend the concert.

  • Discovery of talent

It is very important to choose people who match the concept. However, if we hire people who live far from the venue, we will have to pay for their transportation and travel expenses, which will increase our budget.

  • Venue selection

If the venue is indoors, make sure we have set up the right seats and stage for the live music and theme. Outdoors can cost more than indoors. It is often affected by the weather, so it is necessary to think about how to deal with it. A venue that is too big will result in extra seats, while a venue that is too small will fill up quickly and reduce profits. We have to choose a venue of a reasonable size.

  • Applying for permits and insurance

It is necessary to obtain permission for music, food, holding events, and so on, depending on the venue, so check ahead of time. It is also critical to have insurance in case of an emergency.

  • Determination of date and time

The date and time of the event are carefully chosen in order to produce a performance that is appropriate for the theme and concept. Furthermore, because the audience has school and work schedules, it is critical to create a schedule that allows them to participate.

  • Finding the required equipment

Event workers must ensure that the stage, speakers, microphones, lighting, and other equipment required to create music that fits the theme, as well as the seating arrangement, are all in place. Knowing how long it will take to prepare them, how much it will cost, and whether they will need special access will assist them in avoiding mistakes.

  • Creating a comfortable environment

It is important to create an environment in which both the talent and the audience can spend their time comfortably; for example, access to seats, beverage service, dealing with inclement weather, and so on. To ensure safety, appropriate security, medical support, and so on must be prepared.

  • Ticket sales

If people don’t sell tickets, they cannot make a profit. They will need to work with a ticket service to prepare an electronic or paper ticket with seating information and a clear refund policy.

  • Promotion of the concert

We can reach a wider audience by advertising our concept. It is critical that everyone involved in marketing, including sponsors, venues, and ticket sellers, collaborate. They fully comprehend the concept and objectives of the event and promote it via social media, email, and print. Furthermore, by photographing and filming the event and following up afterwards, it is possible to make it a regular occurrence.

Who are the people involved in running the concert?

A concert requires a large number of people to put it on. We can have successful concerts because of the people who work behind the scenes. Dean College (2022) listed the following personnel as being involved in organizing a concert:

  • Support team

They ensure that the appropriate equipment is available on time. 

They also play an important role in instructing the performers on where to stand on stage.

  • Audiovisual personnel

They manipulate soundboards and determine the proper placement of instruments at concerts to ensure that the audience receives the best music possible. Furthermore, the video package and lighting are adjusted to create the best stage possible.

  • Manager

The manager represents the performers, creates opportunities for concerts at various locations, and ensures smooth planning and operation for everyone involved in the concert.

  • Producer

The producer is responsible for the concert. They play an important role in organizing the event, scheduling concerts, and coordinating times with other artists.

  • Public relations team

Their job is to distribute flyers for the event and use commercials, articles, and social media to widely publicize the event.

What is important when running a concert?

According to Leadoo (2019), there are some important things to manage for a successful event.

  • Start early

When we hold a large-scale event, we have to start training 4-6 months in advance. Even if it is on a small scale, we need to prepare for at least one month.

  • Stay flexible

As we plan our event, things may happen that are different from what we had planned. We must be able to respond flexibly to changes regardless of event type, location, or time.

  • Create shared documents

Written documents such as contracts, attendee information, and so on need to be produced so that everyone can share things. This makes it possible to check unknown parts and find defects.

  • Have a backup plan

In holding an event, it is important to have a backup plan because we may be involved in happenings. It is necessary to decide if alternatives can be found in the event of a problem or if it should be excluded from the event.

  • Do run-through

Run the event process about two weeks before the event so workers have time to fix it.

  • Shoot everything

Workers can demonstrate the success of their event by posting positive event photos.

  • Fast follow up

To communicate the success of the event, it is important to actively follow up with the media.

Conclusion

A concert requires a large number of people, as well as a significant amount of time and money. They are difficult but crucial to the event’s success. Everyone involved in concert management must work together to achieve success. We should strive to provide the best possible time for the audience.
